Administrative Assistant, Psychology Department

Position OverviewThe Department of Psychology at Merrimack College invites applications for an Administrative Assistant who will be responsible for various duties to support the undergraduate major and proposed graduate major in Psychology.
This person will work closely with the Chair of the department and various administrators from the deans office.
The Department of Psychology is the largest major in the School of Liberal Arts and in the top five majors in the College.
The Department boasts a highly collegial work environment.
This is a 12-month staff position with expectations to maintain an on-campus, full-time presence at Merrimack College.
Primary Responsibilities for Undergraduate Program:
Responsible for student records including but not exclusive of the following:
GPAs, major/ minor check sheets, prerequisites, graduation honors, etc.
Assist in student advisement program.
Responsible for overall tracking of seats required per course/per year to ensure students graduate on time Student schedules and course requirements (keeping students on track for graduation).
Process student requests such as:
change of major/minor, course withdrawals, courses taken at another institution, study abroad courses, directed study, pass/ fail course forms.
Create reports.
Maintain and organize files.
Process student course evaluations.
Department record keeping such as monitoring expenditures and budget projections.
Meet schedules and timelines.
Purchase office supplies.
Coordinate textbook orders.
Schedule meetings.
Process library book orders.
Update course catalog.
General communication:
answer phones, take messages, email, paper mail, etc.
Schedule classrooms as needed.
Generate purchase orders and payment vouchers.
Assist faculty with rank and tenure process.
Provide information and assist the chair with faculty yearly evaluations and departmental annual reports.
Post notices and announcements, monitor and update information on Psychology monitor.
Communicate with parents of students while maintaining confidentiality and discretion.
Develop innovative techniques and redesign existing methods and processes to enhance office productivity.
Supervise work study students.
Assist faculty member with Psi Chi (the International Honor Society in Psychology) and the annual induction ceremony.
Assign advisors for all new majors and minors and prepare digital folders for advisement.
Send copies of all faculty member syllabi and office hours to the Dean's office each semester.
Assist faculty with expense report forms when needed.
Primary Responsibilities for Upcoming Graduate Program:
Maintaining communication with the graduate school regarding admissions and new students.
Responsible for student records including but not exclusive of the following:
GPAs, major/minor check sheets, prerequisites, graduation honors, etc.
Assist in student advisement program.
Assisting with mentorship model in terms of keeping track of student-faculty pairings.
Responsible for overall tracking of seats required per course/per year to ensure students graduate on time.
Student schedules and course requirements (keeping students on track for graduation).
Schedule classrooms as needed.
Send copies of all faculty member syllabi and office hours to the Dean's office each semester.
Provide information and assist the program director with faculty yearly evaluations.
Qualifications:
Associate or Bachelor's degree required.
Administrative experience, preferably in an academic environment and with a clear understanding of academic policies.
Excellent verbal and written communication skills.
Ability to gather data and compile information effectively.
Strong interpersonal skills and ability to work effectively with faculty, students, staff, and administrators.
Knowledge of Microsoft Office applications, especially Word, Excel.
Knowledge and facility with Google Workspace applications.
Knowledge and facility with Adobe Products.
Excellent organizational skills and ability to handle multiple tasks.
Strong attention to detail.
Experience with diverse working environments.
